Terms of Reference for Finance Manager

Introduction

This Ability Trust is a women-led nonprofit organisation whose mission is to advance the sexual reproductive health and rights of women and girls with disabilities across Africa. We envision a society in which women and girls with disabilities have access to quality dignified healthcare with their rights respected and upheld. Our model focuses on leveraging various forms of technology to increase access to dignified and equitable sexual reproductive healthcare services and information, strengthen the capacities of healthcare providers to build inclusive healthcare systems and inform policy advocacy on sexual reproductive health rights based on the lived realities of women and girls with disabilities. 

Background

Over the years, This Ability Trust has successfully implemented numerous projects and initiatives, positively impacting the lives of women and girls with disabilities. Our main programs include; Mama Siri, our toll free number services that provides referral information for women with disabilities who need Sexual and Reproductive Health information and services or are experiencing Gender based Violence; Hesabika, a USSD data collection platform that allows persons with disabilities to register themselves and receive access to critical information through periodic Bulk SMS; Skills, an eLearning platform where we facilitate the training of healthcare providers on the sexual and reproductive health and rights of women with disabilities, from a disability and gender standpoint and; SRHRplusD, an advocacy platform which builds critical mass for advocacy and accountability purposes and aligns with communities of women and girls with disabilities on our agenda for the rights of women and girls with disabilities.

As a non-profit organization, we receive funding from various sources and these funds play a crucial role in supporting the organization's programs and activities, enabling us to fulfil our mission and achieve our strategic objectives. Given the diverse funding sources and complex nature of project funding, effective financial management is paramount to This Ability’s success. The Finance Manager will play a pivotal role in ensuring the efficient allocation and utilization of financial resources, while also ensuring compliance with regulatory requirements and donor guidelines.

Moreover, we recognize the importance of adapting to changing circumstances and emerging challenges. The Finance Manager will be instrumental in developing and implementing financial strategies that are flexible, responsive and aligned with the evolving needs of the organization and the community of women and girls with disabilities that we serve. Through strategic financial leadership and expertise in financial management, the Finance Manager will contribute significantly to the sustainability and growth of This Ability Trust, enabling it to continue extending its impact and further its mission of positively transforming lives of the women and girls with disabilities.

The Role

The Finance Manager will be responsible for managing the financial functions of This Ability Trust, including budgeting, grants management, risk management, financial reporting, audit and compliance.

Objectives 

  1. Develop and oversee budgets that align with the Trust’s objectives and donor stipulations.
  2. Efficiently manage grants and donor funds, ensuring adherence to funding regulations and reporting obligations.
  3. Implement robust financial policies, procedures, and controls to safeguard This Ability Trust assets.
  4. Provide accurate and timely financial reports to internal and external stakeholders.
  5. Offer strategic financial guidance to senior management and the Board of Trustees.
  6. Enhance financial systems and processes to improve efficiency and transparency.

Responsibilities:

The Finance Manager will be responsible for the following:

  1. Budgeting:

  • Collaborate with the programs team and senior management to develop budgets.
  • Monitor budget execution and provide regular updates to ensure financial targets are met.
  • Conduct budget analysis and forecasting.
  • Review budget proposals for new projects, ensuring alignment with the Trust’s priorities and available resources.

  1. Grants Management:

  • Oversee the entire lifecycle of grants, from proposal development to reporting, ensuring compliance with donor requirements.
  • Coordinate grant budgeting and financial reporting, providing accurate and timely reports to donors.
  • Monitor grant expenditures to ensure adherence to donor agreements and project budgets.
  • Maintain effective communication with donors regarding financial matters.

  1. Financial reporting: 

  • Prepare accurate and comprehensive financial statements in compliance with relevant accounting standards.
  • Ensure transparent reporting of financial performance to internal stakeholders.
  • Maintain financial records and documentation in line with regulatory requirements and This Ability Trust policies.

  1. Auditing:

  • Plan and execute internal audits to assess compliance and identify areas for improvement.
  • Coordinate external financial audits and collaborate with auditors to facilitate the process.
  • Review audit reports and implement corrective actions as needed.
  • Provide support and guidance to staff during audits.

  1. Risk Management:

  • Identify financial risks and develop strategies to mitigate them.
  • Implement internal controls and procedures to safeguard This Ability Trust assets.
  • Conduct regular risk assessments and reviews of financial processes.

  1. Compliance:

  • Monitor compliance with financial regulations, donor agreements, and the Trust’s policies.
  • Ensure adherence to statutory reporting requirements and tax regulations.
  • Conduct periodic reviews of financial procedures and documentation.
  • Stay updated on changes in accounting standards, regulatory requirements, and donor guidelines.

Required Qualifications and Experience:

  1. An Advanced degree in Finance, Accounting, or related field; MBA or professional qualification e.g. CPA, ACCA is preferred.
  2. Minimum of 10 years of experience in financial management in the non-profit sector.
  3. Strong understanding of accounting principles, financial reporting standards, auditing and regulatory compliance.
  4. Strong in financial analysis and advanced excel skills.
  5. Proven track record in budgeting, financial analysis and grants management.
  6. Proficiency in financial management software especially Quickbooks is a MUST.
  7. Excellent communication and interpersonal skills, with the ability to interact effectively with diverse stakeholders.
  8. Demonstrated leadership abilities, with at least 4 years experience in managing teams and fostering a culture of accountability and integrity.
  9. Understanding of financial risk factors and the ability to develop and implement risk management strategies.
